2. Processing Purposes and Data Usage for Training

Voxia processes data to provide transcription services and to develop and enhance artificial intelligence technologies.

  • Service Improvement and Model Training: You hereby acknowledge and agree that the Company and its third-party AI technology providers (including, but not limited to, AssemblyAI and Google Gemini) have the right to use User Content (audio recordings and generated transcripts) to train, fine-tune, and improve machine learning models. This processing is conducted to enhance speech recognition accuracy, expand language support, and develop new service features.
  • Processing Methods and Human Review: While data processing is primarily automated, for the purposes of quality assurance, safety, and model training (including Reinforcement Learning from Human Feedback — RLHF), pseudonymized or de-identified snippets of your content may be accessed for limited analysis by technical specialists of the Company or our third-party processors.
  • Content Neutrality and User Initiative: The Company does not engage in proactive monitoring or editorial control over uploaded content. Processing is initiated solely by the user by uploading data to the App. The Company shall not be held liable for the substance of the processed information, except for its obligations to ensure technical security and data protection.

3. Categories of Data We Process

  • User Content: Audio files and generated transcripts.
  • Identifiers: Anonymous RevenueCat ID, device identifiers.
  • Technical Data: IP address, crash logs, and diagnostics data (Firebase).

4. Legal Bases for Processing (GDPR Art. 6)

  • Performance of a Contract: To provide transcription and related services.
  • Legitimate Interests: Ensuring security, fraud prevention, and service improvement.
  • Product Improvement: We process User Content to improve our AI models and algorithms based on our legitimate interest in providing a high-quality, evolving service, or based on your consent where required by law.

5. Third-Party Processors and International Transfers

We use carefully selected third-party service providers acting as data processors to support the operation of the App, including providers of cloud infrastructure, AI-based transcription and text processing services, and analytics and diagnostics tools.

Some of these service providers may be located outside the European Economic Area (EEA). Where personal data is transferred outside the EEA, such transfers are protected by appropriate safeguards, including the European Commission's Standard Contractual Clauses.

An up-to-date list of our data processors and sub-processors is available upon request.

6. Cookies and SDKs

We use essential SDKs (such as Firebase and RevenueCat) strictly necessary for application functionality, security, diagnostics, and subscription management. We do not use advertising or behavioral tracking cookies.

7. Security Measures

  • Encryption at Rest: AES-256 encryption.
  • Encryption in Transit: TLS/SSL.
  • Access Controls: Restricted, role-based system access.

8. Data Retention and Treatment of Sensitive Information

  • General Retention Policy: User Content is retained for a period of 6 months following your last activity, or until you manually delete it.
  • Treatment of Unintentionally Uploaded Sensitive Data: Since the Company does not use technical means to identify or isolate sensitive personal data (such as health info or biometric data), any such data uploaded by the user will be processed as standard User Content.
    • We do not provide specialized protection or separate deletion cycles for sensitive data.
    • Such data will remain in our system and the systems of our processors (as described in Section 2) until the standard retention period expires or you exercise your right to delete the content manually.
    • If you realize you have uploaded sensitive data in violation of the Terms of Use, you must use the manual deletion tools provided in the App immediately.

If sensitive personal data is uploaded contrary to our Terms, such data is processed solely at the user's initiative and deleted as soon as technically feasible.

9. Your Rights

You have the right to:

  • Access, rectify, or erase your personal data;
  • Restrict or object to processing;
  • Receive your data in a structured, commonly used, and machine-readable format (data portability, Art. 20 GDPR).

California residents may also limit the use of sensitive personal information under the CCPA.
